Account Expiration/Deletion

Graduating students can continue to use their network accounts for approximately 60 days after graduation. This will allow graduates time to transition friends, family and business contacts to a new e-mail address.

Once your account is deleted you will no longer have access to the following: e-mail messages, your former WFU e-mail address, the WFU wireless network, Schools of Business Intranet, Library Databases, Sakai, WIN and other WFU network resources.

Graduates can use their accounts for approximately 60 days after graduation.

PLEASE NOTE:  No extensions will be offered past the expiration/deletion date.

Alumni Gmail Information 

The university offers alumni Gmail accounts to all graduates.  This is a great opportunity for you to maintain a Wake Forest email address after graduation.  Your alumni Gmail account will be an email account with access to Google Drive and all of Gmail’s standard functions.  This means you have the opportunity to transfer your existing @wfu.edu content (messages, files, contacts) to your new @alumni.wfu.edu account before your @wfu.edu account is deleted.

Transition Checklist

Follow these steps to ensure a smooth transition from a student to an alumni.  If you have any problems with the steps below, please contact the appropriate office:

Step 1: Create your Alumni Gmail Account with the WakeNetwork

WakeNetwork allows registered alumni, parents, and friends to maintain a closer relationship with Wake Forest. Features include a searchable directory of alumni, parents, and friends, Wake Forest news, the option of a permanent WFU-affiliated email address, and more.

If you DO NOT have a WakeNetwork Account:

Create your alumni Gmail account during the WakeNetwork registration process.

  • Visit wakenetwork.wfu.edu
  • Click on “New User? Register now >>
  • Complete the registration form as indicated
    • For Preferred email, please enter a PERSONAL email address.  Do NOT use your WFU student email address.
    • Make sure you select “Yes” for the “Create Gmail Account“.
    • Select a User ID for your WakeNetwork account.  This User ID will become the prefix to your new Alumni Gmail Account: [User ID]@alumni.wfu.edu. Many users select “FirstName.LastName” as their User ID.
  • Once all fields are filled out properly, the “Register” button will appear.
  • Your registration will be reviewed by the alumni office and you will be notified by email regarding your account status.

Once you receive confirmation from the Alumni Office that your account has been created, you may log into your Alumni Gmail Account at http://mail.google.com.  Use your full alumni Gmail address,  [User ID]@alumni.wfu.edu, when logging into Gmail.

 

If you DO have a WakeNetwork Account:

  • Visit wakenetwork.wfu.edu
  • Enter your WakeNetwork Username and Password  to log in.
  • Click on the Settings button (click here for a screenshot)
  • In the Account Settings section, click on Manage WFU Gmail Account.
  • Switch Enabled to Yes.
  • Please allow approximately 15 minutes for your WFU Alumni Gmail Account to be active.
    • Your WakeNetwork username will used as the prefix for your account: [Username]@alumni.wfu.edu
    • Your password will be the same as your WakeNetwork password.

Once your account has been created, you may log into your Alumni Gmail Account at http://mail.google.com.  Use your full alumni Gmail address,  [User ID]@alumni.wfu.edu, when logging into Gmail.  If you have trouble logging into your WFU Alumni Gmail Account, change your WakeNetwork password to force the password synchronization process.

Step 2: Start using your Alumni Gmail Account

Because your student account is expiring, it is important to begin using your alumni gmail account (or a personal account) for all correspondence, especially when interacting with potential employers.

  • Update your resume to use your alumni gmail account (or a personal account)
  • Update any active job applications to use your alumni gmail account (or a personal account)

Step 3: Set a vacation responder in your Student Gmail

  • Log into Google Mail (http://mail.google.com)
  • Click on the gear and select “Settings”
  • Scroll down to the Vacation Responder section
  • Set your vacation responder
    • Include your new alumni email address
    • Include the date that your student account will no longer be active

Note: A vacation responder will work for 30 days after your account expires.

Step 4: Set a mail forward for your Student Gmail

  • Log into Google Mail (http://mail.google.com)
  • Click on the gear and select “Settings”
  • Click “Forwarding and POP/IMAP”
  • Click “Add a forwarding address” and follow the steps to set up a mail forward

Note: Mail forwarding will work for 30 days after your account expires.

Step 5: Transfer your student email to your Alumni Gmail Account (Optional)

If you wish to transfer your student email to your new Alumni Gmail account, you will need to run a special backup & restore script. This must be completed prior to your account deletion. It can take a long time, so don’t wait until the last day.

Step 6: Transfer your Contacts to your Alumni Gmail Account (Optional)

  • Step 1: Export your Gmail Contacts – When exporting contacts from your student Google account, be sure to use the Google CSV format. This makes it easy to import them into your Alumni account.
  • Step 2: Import your Gmail Contacts – Now you can use the CSV you have created to import your contacts into your Alumni Google account.

Step 7: Transfer your Calendar to your Alumni Gmail Account (Optional)

  1. Log into your WFU student account (mail.google.com) and select your Calendar from the Google App Launcher
  2. Enter your WFU email address followed by your password and click Sign In
  3. On the left side of the page, find the My calendars section and click the dropdown menu to right of the calendar to export.
  4. Choose Calendar Settings.
  5. Scroll down and select Click Export this calendar link.
  6. A Zip file of your events will start downloading.
  7. Open the zip file in your Downloads folder and move the ICS file to a location you can easily access.
  8. Log out of your student account
  9. Log into your WFU Alumni account (mail.google.com) and select Calendar from the Google App Launcher
  10. In the top right, click the Gear and choose Settings.
  11. Open the Calendars tab.
  12. Click Import calendars between the “My calendars” and “Other Calendars” sections.
  13. Click Choose File and select the file you ICS file you exported.
  14. Choose which calendar to add the imported events to. By default, events will be imported into your primary calendar.
  15. Click Import.

Step 8: Transfer Files from your Google Drive to your Alumni Gmail Account (Optional)

We know your files are important to you and you may want to access them after graduation.  In order for you to access your files after your @wfu.edu account is deleted, follow these simple steps:

  1. Select the files you want to share in your student account
  2. Right-click or use the “More” menu and select “Share”
  3. Share the files with your @alumni.wfu.edu account
  4. Log into your @alumni.wfu.edu account and open Google Drive
  5. Select all of the files you just shared, and right-click or use the “More” menu to select “Make a Copy”
    **”Make a Copy” will create a copy of each of these documents that are now owned by your @alumni.wfu.edu account.  If you do not Make a Copy, the file will be deleted from your @alumni.wfu.edu account when your @wfu.edu account is deactivated 60 days after graduation.**

Step 9: Download Files from Sakai (Optional)

While you still have access to your student account, log into Sakai to download files that may be useful to you in the future.

  2. Go to the Resources section for each course and download files as needed
  3. Repeat steps for each course

Student Software Purchases

You are eligible to purchase a copy of Microsoft Office while your student account is still active.  Installation DVDs (Office 2013 for Windows or Office 2011 for Mac) are available for purchase from the IT Department for $20 (cash or check) or you may visit http://wfu.onthehub.com to download Office (various versions) for free.  Limit one installation DVD per person.
